Ambleford – Terms and Conditions
These Terms and Conditions (“Terms”) apply to all bookings, sessions, activities, events, and services provided by Ambleford (“we”, “our”, “us”). By booking a place, attending, or allowing your child to attend, you (“you”, “parent/guardian”, “participant”) agree to be bound by these Terms.
1. Payments
1.1. All sessions, clubs, and events must be paid for in full prior to the activity date or within 7 days of invoice issue, whichever comes first.
1.2. Bookings are confirmed only once payment is received.
2. Cancellation and Refunds
2.1. All cancellations or postponements by participants should be made immediately once known and must be confirmed in writing by email or by telephone call.
2.2. Should Ambleford Ltd cancel an event, an alternative date may be offered, or a full refund will be made. Reasons for cancellation might include adverse weather, staff illness, or other unforeseen circumstances.
2.3. If a participant cancels, the following charges apply:
- 21 days or more prior to the event – full refund.
- 14 days or less prior to the event – 50% refund.
- 7 days or less prior to the event, or non-attendance – no refund.
2.4. No refund will be given where a child is excluded from attending due to illness, behaviour, late arrival, early collection, or failure to comply with these Terms.
3. Responsibilities of Parents and Guardians
3.1. Children remain the responsibility of parents/guardians until they are formally signed in and the parent/guardian has left the site.
3.2. Responsibility returns to the parent/guardian once they re-enter the site at the end of a session.
3.3. Parents/guardians must provide accurate emergency contact and medical information at booking.
4. Sickness and Exclusion
4.1. Children must not attend a session if they have displayed sickness, diarrhoea, or other contagious symptoms within 48 hours prior to the start of a session.
4.2. Children must not return to site until at least 48 hours after the last occurrence of symptoms.
4.3. If a child becomes unwell during a session, we reserve the right to contact parents/guardians and request immediate collection.
4.4. No refund will be given in these circumstances.
5. Supervision, Behaviour, and Additional Needs
5.1. We provide appropriate supervision ratios in line with safeguarding best practice.
5.2. We reserve the right to remove any participant whose behaviour is deemed unsafe, disruptive, or detrimental to the welfare of others. No refund will be given in such cases.
5.3. If, during a session, a child’s needs or behaviours are judged to be beyond what our staff can safely and reasonably manage, we reserve the right to:
- Request that the child be collected early, and/or
- Refuse service for future sessions.
5.4. In these circumstances, no refund will be given for the current or remaining sessions. Any refund offered will be entirely at our discretion.
6. Activities, Risks, and Waiver of Liability
6.1. Our activities (including but not limited to fire lighting, tool use, woodland exploration, animal encounters, climbing, craft, and outdoor play) carry inherent risks of personal injury, property damage, or loss.
6.2. By booking, you acknowledge these risks and accept that participation is voluntary.
6.3. To the maximum extent permitted by law, Ambleford, its staff, and volunteers are not responsible for:
- Accidental personal injury or illness sustained during activities.
- Loss of or damage to property or personal belongings.
- Any injury sustained as a result of failing to follow safety instructions.
6.4. Nothing in these Terms limits our liability for death or personal injury caused by negligence, or for any matter which cannot be excluded under UK law.
7. Weather and Cancellations by Us
7.1. Outdoor sessions run in most weather conditions. Please ensure participants wear appropriate clothing.
7.2. In cases of extreme weather or unforeseen circumstances, we may cancel or postpone a session.
7.3. If we cancel, you will be offered an alternative date or a full refund.
8. Medical and Emergency Procedures
8.1. Parents/guardians must disclose all relevant medical, allergy, or additional needs information in advance.
8.2. In the event of illness or accident, we may administer first aid and/or contact emergency services. You will be informed as soon as possible.
8.3. We cannot accept responsibility for aggravation of undisclosed medical conditions.
9. Clothing, Equipment, and Lost Property
9.1. Participants should wear suitable outdoor clothing and footwear for the activities.
9.2. All personal belongings remain the responsibility of the participant.
9.3. We do not accept responsibility for loss or damage to clothing, equipment, or valuables.
10. Safeguarding and Data Protection
10.1. We are committed to safeguarding all children and vulnerable adults in our care.
10.2. Photography by parents/guardians must be agreed with staff to protect privacy.
10.3. Personal data is handled in line with UK GDPR and used only for booking, safety, and communication purposes.
11. Site Rules and Collection Policy
11.1. Parents/guardians must not wander beyond the car park area while a session is in progress.
11.2. If you need to collect your child during a session, you must telephone the main Ambleford contact number, and a member of staff will bring your child to you.
11.3. Children must not be dropped off earlier or collected later than their allotted session times, unless agreed in advance by appointment.
11.4. A late collection charge of £10 per 15 minutes (or part thereof) will be applied for any unauthorised late collection.
12. Agreement to Terms
12.1. By booking or attending, you confirm that you:
- Accept these Terms and Conditions.
- Consent to your (or your child’s) participation in activities.
- Release Ambleford from liability for injury, loss, or damage except where UK law prevents exclusion.
Personal Injury Waiver
Acknowledgement of Risk and Waiver of Liability
I understand that activities at Ambleford involve inherent risks, including the risk of injury. I confirm that I (or my child) am/is physically fit and able to participate. I voluntarily assume all risks associated with participation.
I agree that Ambleford, its staff, and volunteers will not be held liable for any injury, accident, illness, loss, or damage sustained during participation, except where caused by negligence or where UK law does not permit exclusion of liability.
I acknowledge that:
- I remain responsible for my child until signed in and after collection.
- I am responsible for my/our own property.
- I have provided accurate emergency and medical information.
- I will not send my child if unwell, and I accept that no refund will be given for exclusion due to illness or behaviour.
- I will abide by Ambleford’s site rules, including collection and car park policies.
