Holiday Club – FAQ’s
We’re excited to welcome your child to our Ambleford Holiday Club – a place for outdoor adventure, new friendships, and plenty of fresh air!
On this page you’ll find everything you need to know before they join us.
Do I need to fill out any forms?
Yes. If your child is joining us for the first time, or if any of their details have changed since their last visit, please complete and return our Personal Record Form before their first session.
This ensures we have up-to-date emergency contacts, medical information, and any important notes to keep them safe and happy.
Drop-off & Pick-up
- Drop-off time: 9:00am (you may arrive from 8:40am to make parking easier)
- Pick-up time: 3:00pm (you may collect any time up to 3:20pm)
- Please avoid arriving earlier or later than these extended windows.
- All children must be signed in and out by an authorised adult.
Car Parking
Car parking can be tight during drop-off and pick-up times, so we ask everyone to park with care and consideration to ensure traffic can flow smoothly on and off site.
To help avoid congestion, we’ve extended our drop-off window to 8:40–9:00am and our pick-up window to 3:00–3:20pm. Arriving within these times helps spread out traffic and makes the process easier for everyone.
Please:
- Park sensibly, leaving enough room for other vehicles to pass.
- Avoid blocking gateways, driveways, or access routes.
- Drive slowly on approach to the site, as children and animals may be nearby.
- It can occasionally get busy despite these measures, and we truly appreciate your patience and cooperation.
- We advise when leaving site to turn left onto the A21
Reception Age Children
- Please ensure your child has used the toilet before arriving.
- If your child occasionally has accidents, let us know on arrival and pack a full change of clothes.
- If they are unable to change themselves independently, we will contact you to collect them.
What to Bring
We’ll be outside in all conditions, so please prepare accordingly:
✅ Warm, waterproof layers – thermal tops, jumpers, waterproof trousers/jacket, extra socks
✅ Sturdy footwear – wellies or walking boots for muddy ground
✅ Packed lunch & snacks – we are a nut-free site
✅ Reusable water bottle – hydration is important, even in cooler weather
✅ Spare change of clothes – especially useful on wet/muddy days
✅ Sun hat & sunscreen (in warmer months)
✅ Gloves & hat (in colder months)
Safety & Staffing
- All staff are DBS-checked and experienced in outdoor education or a qualified teachers.
- We operate in line with Ofsted requirements for holiday clubs.
- First aiders are always on-site.
- Risk assessments are carried out for all activities.
Food & Allergies
- We are strictly nut-free.
- The site is heavily populated with hazel trees and nuts are common on site at certain times of the year.
- Please make sure lunch boxes and snacks do not contain any nuts.
- Let us know about any allergies or dietary needs on the Personal Record Form.
Communication & Updates During the Day
You’ll receive an invite to ClassDojo where we share photos, updates, and highlights from the day.
For urgent matters during a session, please call our club phone (number will be provided in your booking confirmation).
Cancellations & Refunds
We understand that plans can change, and we’ll always do our best to help.
- Cancellations more than 14 days before the session: Full refund or transfer to another date (subject to availability).
- Cancellations between 7–14 days before the session: 50% refund or transfer to another date (subject to availability).
- Cancellations less than 7 days before the session: Unfortunately, we are unable to offer refunds or transfers, as staffing and materials will already have been arranged.
- If your child is unwell on the day: Please let us know as soon as possible. While we can’t guarantee a refund, we may be able to offer a partial credit in exceptional circumstances.
- If we have to cancel: In the unlikely event that we need to cancel a session (for example, due to extreme weather or staff illness), you will be offered a full refund or the option to transfer to another date.
